The gap between seeing and remembering

Almost everyone who sees a poster and thinks "that sounds good" forgets about it within an hour. An event QR code closes that gap. Instead of asking someone to memorise a date, open their calendar app, create an entry and copy the address, you let the camera do all four steps in one tap. The result is a measurable difference in turnout for exactly the same print run.

What to write in the fields

Keep the title short enough to read in a calendar cell on a phone, roughly forty characters, and put the organiser name in it if the event could be confused with another one. Use the full street address as the location so the calendar entry can hand it straight to a maps app for directions. Set the end time honestly: an event with no end time shows as an all-day block and looks like clutter, which is the fastest way to get deleted.

Where it belongs

Print it on gig posters, wedding invitations, conference programmes, school newsletters, gallery openings, church notices and shop windows. It works just as well on screen: put it at the end of a confirmation email or on the last slide of a webinar so people can save the follow-up session.

If the date might move, generate a dynamic link code pointing at the event page rather than a calendar code. Then a postponed date is one edit instead of a reprint, and the scan counts tell you how much interest the poster is actually generating in each location you placed it.

Event QR code questions

Short answers, no sales pitch.

The phone opens a calendar preview with the title, date, time and location already filled in, and the person taps once to save it.

The time you enter is written into the code as a local time for the venue, which is what you want for a physical event. For an online event across countries, put the time zone in the title as well.

A calendar code holds one date. For a weekly class or a season of dates, use a dynamic link code that points at your booking page and edit it as the schedule moves.

No. Tickets need a unique code per attendee that your scanner can validate. This code is for promotion: posters, invitations, programmes and confirmation emails.
